Credit card receipts

How long am I obliged to keep the merchant copies of credit card receipts, is it six years like other paperwork?

I keep mine for 1 month and then shred them.

Don't dispose of card receipts before they could appear on the customers' statements and bear in mind it's not just the customer that could want to query, it's the tax man too. You may have statements but receipts will reconcile them, go for the six years.

For what purpose would the taxman need cc receipts? Under the data protection act I wouldn't be able to let him see them anyway.

In order to be PCI compliant all credit card receipts must be shredded within 12 months of the transaction date.

Google it, there's plenty of info - no hard and fast 'Rules' for CC receipts that I can see, but some sound advice. But your one month is dangerous.

Ours are stuck on the customers job sheet so not only do we have a record of his job spec, but the method he pays. Accountants love this sort of info.

I think you will find its the CCV that has not got to be stored.

Sorry to labour the point, but if your merchant copy has the full card number on then it needs to be kept secure (i.e. In a locked box) until it is destroyed, or you are not PCI compliant.

I suppose I could ask HMRC themselves.

Not sure about pinning the cc receipts to the job sheet, doesn't that create a link between card number, the card's owner and their address/telephone number. Sounds to me as if that would need you to answer some of PCI's 'harder' question?

You are probably right about that. Although our job sheets dont have customers addresses - only name and phone number, but it is still more than it should be for PCI (in hindsight & thanks to Abacus). Must check with the accountant regarding legalities of these receipts for books purposes. Hate to contact HMRC for anything :(
